Job completion certificate, signed on screen

A signed completion certificate ends the job cleanly: the client agrees the work is done, and you have a record if questions come up later. Fill it in on site and let the client sign with a finger.

Runs in your browser. Your photos and details are not uploaded anywhere.

On a phone, choose Save as PDF in the print screen.

How to use it on site

  1. Fill in the details. Client, address, date and your job or invoice number.
  2. Describe the work. List what was done in plain words, in the same terms as your quote.
  3. Note any exceptions. Anything left out, waiting for parts or agreed for later. Writing it here stops it becoming a dispute.
  4. Walk the client round. Show them the finished work before they sign, not after.
  5. Sign and save. Both of you sign in the boxes, then save it as a PDF and send it with your invoice.

What a completion certificate is, and is not

It is a short record that both sides agreed the work was finished on a certain date. That helps when an invoice is paid late, when a client changes their mind about what was included, or when a warranty period starts.

It is not a legal or building control certificate. Some work, such as electrical, gas or structural work, may need official sign-off from a licensed person or authority, depending on where you are. Check what applies to your trade.

Back it up with photos

A signature says the client was happy on the day. Photos show what they were happy with. Take after photos before you ask for the signature and keep them with the job. In JobProof, a job cannot be completed until an After photo is in, so the proof is always there.

Questions

Is an on-screen signature valid?

Electronic signatures are accepted for many everyday agreements in most countries, but rules vary. For anything high value, check with an adviser where you work.

What if the client will not sign?

Write down what they are unhappy with, agree a fix and a date, and take photos. A refusal with clear reasons is still useful.

Is anything saved online?

No. The certificate exists only on your screen until you save it.

Your next job is a before photo.
